Vaal Forklift Solutions (Pty) Ltd ("we", "us" or "our", Reg. No. 2015/282567/07) is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and, where applicable, the EU General Data Protection Regulation (GDPR).

This policy explains what information we collect, why we collect it, how we use it, and your rights in relation to it. By using this website or submitting a contact/quote form, you acknowledge that you have read and understood this policy.

We collect personal information only when you actively provide it or when it is collected automatically through standard website technologies.

Information you provide directly (via the quote/contact form):

  • Full name
  • Company name
  • Phone number
  • Email address
  • Service enquiry details

Information collected automatically (only if you consent to analytics):

  • Pages visited and time spent on each page
  • Approximate geographic region (country/city level)
  • Browser type and device type
  • Referral source (how you found the site)

This analytical data is collected via Google Analytics 4 and does not include any information that can directly identify you. Analytics are only activated after you click Accept on the cookie notice.

3. How We Use Your Information

  • To respond to your quote request or service enquiry
  • To provide the forklift services you have requested
  • To contact you about your query via phone, WhatsApp or email
  • To understand how visitors use our website and improve it (analytics, with consent only)

We do not use your personal information for automated decision-making, profiling, or direct marketing without your explicit consent.

4. Legal Basis for Processing

  • Contract — processing is necessary to respond to your service request.
  • Legitimate interest — understanding how our website is used so we can improve it.
  • Consent — for Google Analytics cookies (you can withdraw consent at any time by clearing your browser cookies or not accepting the cookie notice).

5. Sharing Your Information

We do not sell, rent or trade your personal information. We may share it only with:

  • Google LLC — Google Analytics 4, only if you have given consent. Google's privacy policy is available at policies.google.com/privacy. IP addresses are anonymised.
  • Law enforcement or regulatory bodies — where we are legally required to do so.

Quote and contact form submissions are processed directly on our server and delivered to us by email. No third-party form-processing service is used.

6. Cookies

This website uses cookies only for analytics purposes (Google Analytics 4). A cookie notice is displayed on your first visit. You may:

  • Accept — Google Analytics cookies are enabled and usage data is collected anonymously.
  • Decline / Close — No analytics cookies are set. We only set a single first-party cookie (vfs_cookie_consent) to remember your preference so you are not asked again.

You can clear cookies from your browser settings at any time to reset your preference.

7. Data Retention

Quote and contact form submissions are retained in our email inbox for as long as is necessary to fulfil the related service request, and thereafter for a reasonable administrative period not exceeding 5 years, unless a longer retention period is required by law.

Google Analytics data is retained for 14 months (Google's default for GA4).

8. Your Rights (POPIA Section 23)

Under POPIA, you have the right to:

  • Know whether we hold personal information about you
  • Request access to your personal information
  • Request correction or deletion of inaccurate or outdated information
  • Object to the processing of your personal information
  • Lodge a complaint with the Information Regulator of South Africa at justice.gov.za/inforeg

9. Security

We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss or misuse. Form submissions are transmitted over HTTPS (encrypted). We cannot guarantee absolute security of data transmitted over the internet.

10. Third-Party Links

This website may contain links to third-party websites (e.g. WhatsApp, Google Maps). We are not responsible for the privacy practices of those sites and encourage you to review their policies.

11. Changes to This Policy

We may update this policy from time to time. The "Last reviewed" date at the top of this page will be updated accordingly. Continued use of the website after changes constitutes acceptance of the revised policy.
